Use the Orders page to review active orders and track them through confirmation, shipment, and invoicing. The Orders page brings this information together in one place, with visibility down to individual order lines.
Before you begin
Before you start, make sure the following conditions are met:
- Cleo has enabled your tenant for the Chargeback Prevention solution.
- Chargeback Prevention is enabled for your user profile.
You must opt-in to Chargeback Prevention using the Early Access feature in your My Profile page. See Enabling Chargeback Prevention.
Review the Orders list
Use the Orders list to locate orders that require review.
The Orders list provides a high‑level view of order activity, allowing you to quickly scan for orders that are still in progress, partially fulfilled, or otherwise incomplete. From this list, you can quickly identify orders that need further review and open them to see more details.
- Sign in to CIC.
-
Go to Orchestration > Orders.
The Orders page opens and displays recent orders by default. - If filters are available, apply filters to narrow results by date or other criteria. See Filtering the Orders List.
- Select an order to view its detailed information. See View order details.
Filtering the Orders List
Use filters on the Orders page to narrow the list of orders and focus on the subset that is most relevant to your review. Filtering helps reduce noise when working with large volumes of orders and makes it easier to locate orders that require attention.
Filtering is applied automatically as you type or select filter criteria. The Sales Orders list updates in real time.
Available filtering criteria
Depending on your configuration and access, you can filter orders using one or more of the following criteria:
| Filter | Description |
|---|---|
| Order Number | Sales order with the order number you specify. |
| Order Type | Sales orders of the order type you select. |
| Partner | Sales orders associated with the partner you specify. You can type a value or click Browse to select from a list of partners. |
| Alerts | Sales orders that have one or more alerts. |
| Confirmation Status | Sales orders with the confirmation status you select. |
| Shipment Status | Sales orders with the shipment status you select. |
| Invoice Status | Sales orders with the invoice status you select. |
The set of available filters may vary based on your environment and enabled features.
How filtering affects the Orders page
When filters are applied:
- Filters persist while reviewing orders
- Multiple filters can be combined
- Filtering does not change order data
If no orders match the selected criteria, the Orders list appears empty.
When to use filtering
Filtering is especially useful when you want to:
- Locate a specific order using its Order ID
- Focus on a specific order type or trading partner
- Prioritize orders that have alerts or higher business value
- Identify orders with pending or incomplete confirmations
- Reduce the list to a manageable set before opening order details
Viewing order details
Use the Order Details view to review execution details for a specific order.
-
Select an order from the Orders list.
-
The Order Details view opens.
The Order Details view displays information that helps you understand how the order is progressing across its lifecycle, including:
- Core order information, such as order identifiers and overall status
- Confirmation activity, showing whether the order or its line items have been accepted, partially accepted, or rejected
- Shipment activity, indicating what has shipped, what is still pending, and whether shipments were partial or complete
- Invoice activity, showing whether billing has occurred and whether invoicing aligns with fulfillment
This view allows you to see how confirmations, shipments, and invoices relate to one another for the same order.
Switch between confirmation, shipment, and invoice views
At the top of the Order Details view, you’ll see three sections labeled Confirmation, Shipment, and Invoice. Each section represents a different stage of the order lifecycle.
When you select one of these sections, the line‑item details below update to show information specific to that stage:
-
Confirmation
Shows confirmation‑related details for each line item, such as whether items were accepted, partially accepted, or rejected. -
Shipment
Shows shipment‑related details, including which items have shipped, which are still pending, and whether shipments were partial or complete. -
Invoice
Shows invoicing‑related details, such as which items have been invoiced and whether billing aligns with shipped quantities.
The same set of line items remains visible as you switch between sections, but the details shown change to match the selected stage.
Reviewing Order Detail at the line‑item level
Orders can include multiple line items that move through confirmation, shipment, and invoicing on their own timelines. Use the line‑item detail view to review activity for each item, such as acceptance status, shipment progress, and how invoicing aligns with fulfillment.
Reviewing details at the line‑item level is especially helpful for orders with partial fulfillment or split processing, where individual items may be at different stages at the same time.
-
In the Order Details view, click a line item to display its details.
-
For each line item, the detail view shows key points in the order’s lifecycle, including:
- When the order was received
- When confirmation was sent or received
- When shipment activity occurred
- When an invoice was issued
This information helps you see how each item is progressing across confirmation, shipment, and invoicing.
- Compare timelines across line items to identify delays, gaps, or inconsistencies.
The line‑item timeline is especially important for orders with partial fulfillment or split shipments, where individual items may follow different execution paths.
Identifying fulfillment issues and execution gaps
Use information on the Orders page to identify execution conditions that may indicate fulfillment problems.
Look for:
- Confirmations that are missing, delayed, or rejected
- Shipments that are partial, delayed, or incomplete
- Invoices that are late or do not align with shipment activity
These conditions can signal execution gaps that require follow‑up and may contribute to service failures or downstream penalties if left unaddressed.
